To get the most out of Costlocker, invite your colleagues to the application. This way, you'll be able to monitor what people spend their time on and the profitability of your projects.

Adding a Person

In the top menu, select the People tab and then click on Add New Person on the right.

Next, you need to fill in the basic information of the person:

Fill in the first name, last name, and email of the person.

By unchecking the Send Invitation to Costlocker checkbox, you will only create the person in Costlocker, but an invitation will not be sent to your colleague. This is useful if you want to import timesheets for them.

Roles in Costlocker

Administrator

  • A person with the Administrator role has access to almost everything, except the Subscription section.

Manager

  • An ideal role if you want to allow a person access to manage selected projects.

Employee

  • Can only track time.

  • Can see their own logged time in the Timesheet.

  • Cannot see any information about the company's finances.

Salary Setup

Next, enter how the employee is compensated. Based on the compensation method, Costlocker calculates employee costs and allocates them to projects.

You can change this setting at any time later. For testing purposes, you don't need to find exact numbers; approximate values will suffice for now.

Monthly Salary

  • The colleague has a regular monthly salary and workload.

Hourly Rate

  • The colleague is paid for the hours worked at a certain rate—ideal for freelancers.

In our example, we'll add the following colleagues with their salaries:

Don't forget to set the salary of the company owner

In the list of people, select the person who is the owner (yourself) under the name you registered with.

In the details, click on Edit Person.

Then go to the Salary tab.

Click on Add Monthly Salary / Add Hourly Rate according to the compensation method.

We have chosen a Monthly salary of $12,000 and 160 hours per month.

The resulting form then looks as follows:

Then click Save and go back to the list of all people using the top tab People.

In our case, the resulting list of people looks like this:
